Contract & Hours: Part-time, 22.5 hrs per week, 8am – 4pm, Monday to Wednesday.
Serve as the first point of contact for ITG, creating a positive and lasting first impression by being both professional and welcoming. Ensure the smooth and efficient operation of the reception area, handling all client and internal (ITG) enquiries and requests with promptness, clarity, and care.
Please be aware this is a 6 month fixed term contract.
Key Responsibilities:
- Provide a warm and professional welcome to clients and visitors, managing sign-ins and issuing visitor passes.
- Coordinate meeting room bookings, ensuring all necessary facilities and resources are available in advance.
- Handle incoming calls by answering, screening, and directing them to the appropriate individuals.
- Manage travel and accommodation arrangements for Senior Management, including hotel and transport bookings.
- Support the business with a range of administrative tasks as required.
- Manage incoming and outgoing deliveries, distribute mail across the business, and arrange couriers when needed.
- Maintain a tidy, organised, and welcoming reception area at all times.
- Monitor and restock basic office supplies, ensuring availability for employees and visitors.
- Arrange catering for business meetings and lunches as requested.
- Schedule appointments and manage meeting calendars for Senior Management when required.
- Represent ITG consistently with a professional appearance and positive attitude.
- Support the planning and execution of ad hoc internal company events.
- Prepare and distribute welcome boxes for new starters.
- Assist with the coordination and administrative support for the 'Employee of the Month' campaigns.
- Photograph new employees and update existing staff photos where needed.
- Support office health and safety initiatives, including First Aider, Fire Marshall, and general H&S responsibilities.
- Carry out additional ad hoc duties as assigned by the business.
- Excellent interpersonal and communication skills, with the ability to engage confidently and effectively with individuals at all levels and from diverse backgrounds.
- A professional, approachable, and friendly manner that creates a positive first impression.
- Highly organised with a proactive mindset, capable of working independently and managing time and priorities effectively.
- Proficient in Microsoft Office applications, with the ability to complete tasks efficiently and accurately.
- Comfortable and confident working autonomously for the majority of the time, with one day per week spent collaborating alongside the job-sharing Receptionist.
